JOB TITLE: Bookkeeper/Inventory Control-Instructional Materials

Primary Purpose:
Responsible for all bookkeeping, ordering, and inventory/audit functions related to instructional materials (IM).
Qualifications:
Education/Certification:
- High School Diploma
- Meet district requirements
- Three years secretarial/bookkeeping experience, preferably in a public school setting
Special Knowledge/Skills:
- Proficient in use of Lawson Accounting
- Proficient in use of QuickBooks or similar accounting program
- Proficient in Microsoft Word and Excel (daily use required)
- Experience using EMAT (preferred)
- Experience using TIPWeb (preferred)
- Able to frequently drive department van to campuses
- Highly organized
- Attention to detail and accuracy of records
- Excellent oral and written communication
- Excellent interpersonal skills focused on customer service and campus needs
- Able to effectively manage time and complete work without direct supervision
MAJOR RESPONSIBILITIES AND DUTIES:
- Ensure compliance with district and state guidelines regarding use of local and IMA funds
- Conduct annual campus Instructional Materials Audits and district IM warehouse audit
- Place orders for all instructional materials and department supplies
- Manage the Instructional Materials Allotment (IMA) budget
- Manage the local IM budget
- Manage campus IM accounts
- Provide required budget reports
- Maintain purchasing and payment files for 7 years
- Manage sale/recycling of surplus and out of adoption IM
- Assist with maintaining accurate records in the TIPWeb instructional materials database
- Provide TIPWeb training to Campus IM Managers
- Work with Campus IM Managers to ensure accurate accounting/distribution of IM
- Order and distribute IM to visually impaired students each school year
- Communicate effectively, both verbally and in writing, with all district personnel, vendors, and TEA officials
- Assist with preparing IM orders for delivery as needed
- Assist with delivery IM orders as needed
